Google Business Profile verification failed or suspended? What to do

Google's own rules on video verification, eligibility and suspensions, translated for Indian shops, home businesses and offices in Indore and Sagar.

Google Maps open on a phone mounted in a car

A Google Business Profile is often the first thing a customer in Indore or Sagar sees before they call you. So when verification fails, or the profile is suddenly suspended, it hurts. The good news: most problems come from a few fixable causes, and Google's own rules tell you exactly what it wants. This guide quotes those rules (checked in October 2026) and translates them for Indian shops, home businesses and offices.

First: don't create a new profile

It's the most common mistake, and it makes things worse. Google's suspension help page says plainly: "Do not create a new Business Profile for the same business." Duplicates are themselves a reason for suspension. Fix the profile you have.

Why verification fails

You can't choose the method. Google says: "Verification methods are automatically determined by Google and can't be changed." The options depend on your business type, public information, region and hours. Video verification is now the most common, and Google's review "can take up to 5 business days" (Google: verify your business).

Video verification is where most Indian businesses get stuck. Google's requirements (video verification help):

  • The video must be "At least 30 seconds long" and "an unedited, unique, and complete recording with no breaks", recorded live from your phone through the Business Profile, not uploaded from the gallery.
  • Shops and offices must show three things: the location (nearby street signs, neighbouring shops), that the business exists (the business name on a permanent fixture), and that you manage it (something only staff can access, like the billing counter or POS).
  • Service businesses without a shop (plumbers, tutors, contractors, consultants) show where they operate, their tools or equipment, and themselves doing the work. They can also show documents like an invoice or utility bill in the business name.
  • Don't show other people's faces, or sensitive numbers like bank account, PAN or Aadhaar.

Google lists typical rejection reasons, including "Business name not visible on storefront", "No nearby area shown" and "Missing proof of authorization to operate the business".

The Indore problem: many shops in older markets don't have a permanent board with the exact business name, or the board shows a brand rather than the shop's own name. If that's you, fix the signboard first. A temporary banner or a printout is not "a permanent fixture".

Video verification checklist

Record in one continuous take of at least 30 seconds:

  1. Start outside: the road, a landmark or neighbouring shops.
  2. Walk to your entrance and hold on your business name on the board.
  3. Go inside: the counter, billing machine, stock, or your workspace.
  4. Show something that proves you run it: unlocking the shutter or office, the POS, tools you use.
  5. If you're a service business, show your equipment and a document (invoice, utility bill) in the exact business name on the profile.
  6. Keep customers' faces and any ID numbers out of the frame.

If it's rejected, read the reason, fix it, and record again including everything from the first video plus what was missing.

Check that you're eligible

From Google's guidelines for representing your business:

  • Name: "Your name should reflect your business's real-world name." Adding cities or keywords ("Best Interior Designer Indore Vijay Nagar") can get you suspended.
  • Address: P.O. boxes and remote mailboxes aren't acceptable. A virtual office isn't allowed unless it is staffed during business hours.
  • Phone: it "must be under the direct control of the business."
  • Home businesses: if customers don't visit you, you're a service-area business. Hide your home address and set service areas instead.

Service areas (Google help): up to 20 areas, no radius, and the whole area "shouldn't be more than about 2 hours of driving time from where your business is based." So an Indore service business can list Indore, Dewas or Pithampur, but not Jabalpur. If you genuinely work in another city, like our own office in Sagar, that location needs its own staffed address and its own profile.

Make your name, address and phone match everywhere

This used to be good practice. Since late September 2026 it matters more. When someone suggests an edit to your profile, Google now gives you 4 days to accept or reject it, and if you don't respond, "Google may automatically publish the update" when it's supported by public information "such as your business website" (Google help; Search Engine Roundtable, Sep 2026).

In plain words: an old phone number on your website, Justdial or IndiaMART can be used to "confirm" a wrong edit. Make these match exactly:

  • Google Business Profile
  • Your website footer and contact page
  • Justdial and IndiaMART listings (Justdial alone reported about 19 crore unique visitors in a single quarter of 2026, Business Standard)
  • Your GST and Udyam registration details (useful later as evidence)

Then turn on email notifications and answer suggested edits within the 4 days.

If your profile is suspended

Common causes reported by local-search specialists are too many edits to the name or address in a short time, no real presence at the listed address, duplicate profiles, and a suspended manager account (Sterling Sky). Google's process (suspension help):

  1. Check your Google account first. If the account itself is restricted, appeal that on the My accounts page before appealing the profile.
  2. Appeal once. Google: "Appeals can only be submitted once." Make it count.
  3. Attach evidence where the business name and address "exactly match your registration": official registration, business licence, tax certificate, utility bill. In India that usually means your GST registration certificate, Udyam certificate, Shop & Establishment licence and an electricity bill in the business name. (That mapping is ours, not Google's wording.)
  4. If the appeal is denied, you can request an additional review with new evidence through Google's appeals form.

Specialists report that appeals usually take about a week but sometimes several weeks. Don't edit the profile while you wait.

Reviews: what helps, and what's now banned

Research on reviews is consistent: a steady flow of genuine reviews matters. A meta-analysis of 96 studies found the number of reviews matters more than a perfect average (Babić Rosario et al., 2016, Journal of Marketing Research), and studies of bought reviews show the boost is short-lived and ratings fall afterwards (He, Hollenbeck & Proserpio, 2022).

Google is also enforcing harder. In 2025 it blocked or removed over 292 million policy-violating reviews and over 13 million fake Business Profiles (Google, April 2026). Its contribution policy now prohibits (Maps user contribution policy):

  • asking staff to collect a set number of reviews, or reviews with specific content
  • asking only happy customers
  • discounts or freebies in exchange for reviews
  • pressuring customers on the premises

Penalties include a public warning on your profile, a temporary block on new reviews, and removal of existing ones (Google help).

What works instead: ask every customer, make it easy (a link or QR card at the counter), and reply to reviews in your own words.

What changed in 2025–26

  • Q&A is gone, "Ask" is in. The old questions-and-answers section has been replaced by an AI feature. Google's Ask Maps began "rolling out now in the U.S. and India" in March 2026 (Google). It answers from your profile and reviews, which is another reason to keep both accurate.
  • The 4-day window for suggested edits (above).
  • Gemini now screens edits, and verified owners get emails before important edits go live.

What actually affects where you show up

Google says local results are based on relevance, distance and prominence, that "businesses with complete and accurate info are more likely to show up", and that "there's no way to request or pay for a better local ranking" (Google help). Practitioners rank the primary category and closeness to the searcher at the top (Whitespark Local Search Ranking Factors 2026, an expert survey). Keywords in the business name may help in rankings, but they break Google's rules and are a common suspension trigger. Not worth it.

Common questions

How long does Google take to review a verification video?

Google says up to 5 business days, occasionally longer.

Can I verify with a postcard instead of video?

Only if Google offers it. You can't choose or change the method.

I work from home. Can I still have a profile?

Yes, as a service-area business. Hide your home address and set the areas you serve.

Should I make a new profile if mine is suspended?

No. Google explicitly says not to. Appeal the existing one with matching documents.

Can I pay Google to rank higher on Maps?

No. You can run ads, but the free local ranking can't be bought.
